Our Commitment to Transparency

Payment model

At HeyLucy!, we believe in building trust through clarity. That’s why we’re committed to transparency in every aspect of our service, especially when it comes to payments. Our payment model is designed to be clear, straightforward, and fair, ensuring that you always know exactly what you’re paying for and why.

We understand that paying an hourly rate to recruitment agencies on top of the locums wage can quickly become an expensive and complicated process for clinics. At HeyLucy!, we believe in making things simpler and more cost-effective for you. That’s why we’ve eliminated the traditional hourly rate model and replaced it with a straightforward, one-time percentage fee.

Instead of paying hourly rates, you’ll pay a single 20% fee based on your locum’s daily pay. This fee covers all associated costs, including transactions, platform usage, and our next-day pay feature. With HeyLucy!, there are no hidden fees or unexpected charges—just one simple, transparent fee that takes care of everything.

It’s our way of ensuring that your clinic can focus on what really matters, without unnecessary financial stress.

NOTE: Posting shifts are completely free! So what do you have to lose! You will only incur our service fee if a shift is accepted and completed.

Accommodation

Regional and rural clinics may offer accommodation for shifts. This will be listed on the shift information page. If a clinic hasn’t listed accommodation and you would like to check if this can be offered, you may message the clinic directly on the app or email support@heylucy.com.au and we can check for you.

Once you book a shift which offers accommodation, the clinic should message you within 24 hours. You can also message the clinic directly after booking a shift. HeyLucy! will also follow up within 48 hours to ensure a line of communication has been established and assist where required.

How do I find more information about the shift and clinic?

After your account has been verified, you will start seeing shifts that match your requirements.

If a clinic has multiple shifts available, you will see the total number of shifts available highlighted on top of the days.

Shift information:

  • You can view high level shift information by clicking on ‘More about the job’

Detailed Information:

  • You can view detailed information about the shift by clicking on the top section of the job card (clinic name or shift days)
  • You will be able to see the following information regarding the shift
    • Dates
    • Hours
    • Rate
    • Travel Allowance (if any)
    • Potential earning total (this will reduce with breaks)

Clinic Information:

  • Whilst clinic name and address are always visible, by clicking on the clinic name, you can now view more information about the clinic, such as software and services.
  • You can also chat to the clinic to ask questions. Contact details are only available if you accept a shift.

How do I find and accept shifts on HeyLucy!?

After your account has been verified, you will start seeing shifts that match your requirements.

It’s as easy as clicking on a shift and clicking Accept. That’s it!

Some clinics may post their shifts with an “Apply” feature. What this means is once you click “Apply”, the clinic will be notified and they can begin reviewing applicants. Once the clinic has selected a locum you will be notified whether you were successful or not.

Once a shift is confirmed you will be sent a booking confirmation and the shifts will now appear in your calendar. (The clinic is also sent a confirmation).

How do I remove (cancel) a shift?

Cancelling a shift does impact your reliability rating on the platform. As such, we recommend taking shifts that you can 100% commit to.

Of course, sometimes there are circumstance which we cannot control. If you need to cancel  a shift, please contact support@heylucy.com.au or call us on 1300 151 252 and our support team will be able to assist.

Cancellations within 72 hours of a shift may be subject to late cancellation fees. For more information please refer to our Support Center or our T&C’s

How do I update my preferences (Availability and Rates)?

We recommend updating your rates / availability on a regular basis to ensure you are notified about the right shifts.

You can update your preferences at anytime by clicking on the profile icon on the bottom right.

On the ‘My Profile’ page, select ‘Update Details’

You can now update your preferences (availability and rates). Please ensure you update your weekend availability and rates.

Once you have made your changes, select SAVE (top right hand corner).

How does the payment process work?

For Locums – How does getting paid the next business day from completing your shift?!

Once you complete your shift, you will receive a reminder to submit your timesheet directly in the HeyLucy! App. After the timesheet is submitted, it will be sent to the clinic for approval.

Once the clinic approves it you will be paid the next business day via our Next Day Payment Facility! Amazing Hey!

For Clinics

There are two key components to the HeyLucy! App which streamlines invoicing and payments for you.

Once the locum submits their timesheet you will be notified to approve (or dispute) it via the HeyLucy! app. Once approved HeyLucy! will start the invoicing process on your behalf. That’s right, no more messy and time consuming admin work!

HeyLucy! will pay your locum the next business day!

You will then receive a copy of the locums invoice for the services they provided as well as another invoice for the HeyLucy! Service Fees (20% of the locums wage)

We will also issue you a Super Contribution Note which will have the details of the Locums super details and the amount that needs to be paid. (Soon to be replaced with our new Auto Super Payment feature, stay tuned!)

How do I submit timesheets?

After completing a shift, you will be sent an email reminder and a push notification to complete your timesheet.

To submit a timesheet, you can select the shift from your calendar. To view the calendar, click on the calendar icon.

Shifts with outstanding timesheets are highlighted in red on your calendar.

Click on the highlighted day. This will take you to the appropriate shift.

Click on the 3 dots in the top corner. A menu will be displayed. Click Confirm Shift Hours.

On the next screen you can confirm the hours and break time. A total will be displayed on the bottom, including any travel allowance.

Click Confirm Shift and provide a rating for your experience with the clinic. This helps us ensure that all clinics are providing a great working environment for Locums.
